Overview:
As the Virtual Chapter President, you are the cornerstone of our National chapter’s success. You are responsible for leading, engaging, and empowering your chapter members from across the country while ensuring alignment with the mission and vision of BE Social Club. Your role includes fostering sisterhood, driving chapter growth, hosting impactful events, and maintaining strong communication with the Division Leader and organizational leadership. Building and maintaining an engaging community of members will be top priority.
Roles and Responsibilities
1. Chapter Leadership and Development:
- Lead your chapter with a focus on fostering community, collaboration, and engagement.
- Onboard and mentor new members to ensure they feel welcomed and supported.
- Develop a leadership team within the chapter by delegating responsibilities (e.g., event planning, membership recruitment).
2. Membership Growth and Retention:
- Drive recruitment efforts to expand chapter membership.
- Retain members by fostering an inclusive and engaging chapter culture.
- Monitor member satisfaction and address concerns proactively.
3. Event Planning and Execution:
- Plan and host monthly chapter events that align with the organization’s mission.
- Collaborate with chapter members to create a mix of social, educational, and service-oriented activities.
- Promote events to ensure high participation and engagement.
4. Communication and Reporting:
- Maintain regular communication with your Division Leader, providing updates on chapter activities and challenges.
- Submit monthly reports summarizing membership growth, event outcomes, and key chapter metrics.
- Keep members informed of organizational updates, resources, and opportunities.
5. Community Impact:
- Foster connections between chapter members and the broader community through service projects and partnerships.
- Collaborate with neighboring chapters or divisions for joint events or initiatives.
Standard Operating Procedures (SOPs)
1. Membership Onboarding SOP
Objective: Ensure new members feel welcomed and engaged.
Steps:
- Send a personalized welcome email or message upon membership approval.
- Pair new members with a “buddy” or mentor for their first 30 days.
- Invite new members to an onboarding event or call to introduce them to the chapter’s mission and activities.
- Follow up after their first event to gather feedback and answer questions.
2. Event Planning SOP
Objective: Host impactful and well-attended chapter events.
Steps:
- Identify the event’s purpose (e.g., social, educational, or service-focused).
- Plan logistics:
- Date, time, location (virtual or in-person).
- Budget and resources required.
- Promote the event via social media, email, and word of mouth at least 3 weeks in advance.
- Execute the event:
- Arrive early to set up.
- Assign roles (e.g., greeter, facilitator).
- Collect feedback from attendees to improve future events.
3. Monthly Reporting SOP
Objective: Provide updates on chapter performance and needs.
Steps:
- Track membership data:
- Total members, new members, and member retention rate.
- Summarize event outcomes:
- Event name, attendance, and key takeaways.
- Highlight challenges or opportunities for growth.
- Submit the report to your Division Leader by the last Friday of each month.
4. Member Engagement SOP
Objective: Maintain high levels of engagement and satisfaction.
Steps:
- Send monthly newsletters or updates to members, including upcoming events and highlights.
- Recognize milestones (e.g., birthdays, anniversaries, achievements) during meetings or events.
- Conduct quarterly surveys to gather member feedback and adjust strategies accordingly.
